Cohort Management Software for Training Providers
Cohort management software for training providers should handle the whole path of a learner: application, enrolment and payment, weekly tasks and submissions, grading, and a certificate at the end. Step 1: set up the programme once
Each programme is a service with a group format. In the service editor you work through Basics, Intake, Journey, Offers, Availability and Pricing. You set a capacity per cohort, and each offer (a tier such as standard or premium) carries its own price, an optional deposit as a fixed amount or a percentage, and a payment mode: pay in full, deposit plus balance, instalments, or instalments with nothing down. Once an offer is full it shows as sold out.
The Intake tab holds the questions an applicant answers before or after booking, or none at all. That is where you ask about experience, goals or prerequisites.
Step 2: build the journey
The journey is the curriculum as a list of stages, each with tasks. Every task has a type that decides what the learner does: watch a video, upload a file, submit a link, fill in a survey, attend a live session, read a document, or sign off. Each task also has an owner, a visibility (visible, a locked teaser, or hidden), and a due date set by rule, for example "stage start plus five days" or "session date".
Reminders can fire before or after a due date, by email, text or in-app, and only if the task is still incomplete.
Step 3: open a cohort and take learners on
A cohort is a named group, such as "Data Bootcamp, October intake", linked to the service it runs. Learners reach it in three ways:
- Public enrolment. A learner picks an offer on your page, and Pacten creates their record in the cohort and sends them to a payment page. The amount comes from your offer, not from what the browser sends.
- From an enquiry. An operator takes the enquiry on, choosing the service, the cohort and the tier.
- In bulk. From the cohort, you search your enquiries and pipeline contacts, or type new names and emails, and enrol several people at once, each on their own tier.
On take-on, each learner gets their own copy of every journey task, with dates worked out from the rules. That is what makes the cohort trackable per person. A welcome email carries a personal link to their hub, where they confirm their email address or phone number before seeing anything.
Step 4: run the cohort from one roster
The cohort page has tabs for the roster, groups, gradebook, schedule, materials, payments and messages. The roster shows each learner's status (confirmed, active, stalled or graduated), progress and payment position. Select people and you can message them, take them on, advance their stage, generate invoices, issue certificates or export a CSV.
- Sessions. Create a session and the whole roster is invited with a calendar attachment. Attendance is marked per session.
- Groups. Make named groups with a size cap, and let learners pick one or assign them yourself.
- Instructors. Assign team members as instructors or assistants on a cohort, and submission and completion notices go to them first.
Step 5: grade and watch for trouble
Learners upload files or links against each task. The gradebook is a grid of assignments against learners, with a class average and a count of what is waiting. Opening a cell shows the submission, and you give a score and feedback, or return it. Grading completes the task and emails the learner.
A separate cohort health view scores every learner nightly on five signals: recency of activity, task completion, submissions, attendance and payment. It names who is behind and which signal is pulling them down, and it keeps a missing signal out of the score instead of counting it as zero.
Step 6: take payment without chasing
When a learner pays a deposit, Pacten builds the remaining instalments from the offer. Where the plan needs it, the learner consents to a saved card and the instalments are charged on their due dates. A declined card sends the learner a message and tells the team. An overdue instalment shows on the roster and lowers the learner's health score. Pacten sits alongside your accounting software, which still handles tax and filing.
Step 7: issue certificates
Each programme can carry a rule: pass a final exam above a threshold, hold an average above it, or pass every graded item, with all tasks complete if you wish. If an exam was sat elsewhere, you record the final score by hand. Certificates are numbered, signed by a signatory you set up, carry a QR code to a public verification page, and can be downloaded as a PDF. The layout is a single fixed design that takes your logo and wording, so it is not a certificate designer.
When the journey changes mid-programme
Improving the curriculum does not rewrite cohorts already running. Pacten shows when a cohort has drifted from its journey and lets you apply the update after previewing the numbers. You can also promote a live cohort's journey back to the template.
What is not built
- No SCORM or xAPI course packages, and no auto-marked quizzes. Grading is a person reviewing a submission.
- No waitlist. A full offer shows as sold out.
- Attendance is per session, not a roster-wide sheet.
- Certificates use one layout.
When this is not the right fit
Look elsewhere if you need a learning management system that hosts interactive course content and tracks completion inside the lesson player, if you run thousands of self-paced learners with no cohort or instructor, or if you need a university-style student record with credits and timetables. Frequently asked questions
- Can I run several cohorts of the same programme?
- Yes. A service can run many cohorts, and a cohort can host more than one service. Each cohort has its own roster, groups, schedule and payments, and learners get their own copy of the journey.
- Can learners pay in instalments?
- Yes. An offer can take a deposit and split the balance into scheduled instalments, or take nothing up front with a saved card. Instalments are charged on their due dates, and declines are reported to you and to the learner.
- Who can be an instructor on a cohort?
- Instructors and assistants are members of your workspace whom you assign to a cohort, and one person can hold either role. For how people are counted on a plan, see the pricing page.
- How do learners find out their results?
- They see the state of each submission in their hub, and they receive an email when you grade or return one. Ask for a demo if you need to confirm exactly what a learner sees for a score.
- Does it replace my accounting software?
- No. Pacten keeps its own ledger for running the business and sits alongside the tool your accountant uses for tax and filing.
