Accounts: the record behind every invoice - Pacten Guides
An account is everything financial about one customer in one place — what they owe, how overdue it is, everything ever raised against them, and what is coming. Under Finance → Accounts.
Accounts cover both people and companies, so a customer who is an individual and one that is an organisation behave the same way.
THE LIST
Who owes what
Sorted by the thing you usually want.
- Balance — what is outstanding right now.
- Aging — how long it has been outstanding, which is a different question and usually the more urgent one.
- Due soon — what is about to fall due, so a call can be made before it is late rather than after.
- Last activity — when anything last happened on the account, which is how a quietly stalled customer becomes visible.
Where your workspace uses more than one legal entity, the list can be filtered to one of them, or to the main book.

What the detail shows
Three things, and they answer different questions.

The transactions
Every invoice, payment, credit and refund in order, with the running effect on the balance. This is the answer to “why is this number what it is”.

The activity trail
Who did what and when — including anything the platform did automatically. This is the answer to “who sent that, and when”.

What is coming
Amounts due, forecast, or up for renewal, flagged by kind so a renewal is not mistaken for an overdue debt.
Tip
You can raise a document straight from an account. Doing it from here rather than from Invoices means the customer, the entity and the history are already attached — fewer decisions and nothing to mistype.
Watch out
An account marked as having no email on file cannot be sent anything. It can still be invoiced and the invoice still exists — it simply will not reach anybody until an address is added.
