Cash requests: asking for money and approving it - Pacten Guides
A cash request is somebody in the business asking for funds — petty cash, a float, money for a job. It is approved by whoever your workspace says should approve it, and it posts to the ledger the moment it is approved. Under Finance → Cash requests.
This catches people out, so it is worth stating plainly. Cash requests need two decisions, made in two different places, and they are deliberately not the same decision.
- Amount — what is being asked for.
- Reason — what it is for. This is what the approver is actually deciding on, so a vague reason is a slow approval.
- The date it is needed.
The screen separates Waiting on you from Your pending — what you have to decide, and what you are waiting on somebody else to decide. An approver can approve or decline, and the request shows which step of the chain it is currently on.
As with every chain in the platform, approving one step where later steps exist does not finish it. The request stays pending until the last step clears.
An approved cash request posts to the ledger against the account you configured, and appears in the register of everything posted. There is a voucher available for the paperwork, and the month’s total posted is shown so the running cost of petty cash is visible rather than discovered at period end.
