How to change a team member's role

A workspace role is someone’s default everywhere. Changing it happens in one place only: Settings → Access, then open the person to see their member page.

One door, on purpose
The role used to be changeable straight from the members list as well, which fired immediately with no confirmation and no undo. It now changes in one place, where you can see everything else the change affects before you save.

Open Settings → Access and click the person
Their member page shows identity, workspace role, per-app exceptions and the finance and legal labels — in the order the system resolves them.

Choose the new role
Admin, Manager, Collaborator or Viewer. Most staff belong at Collaborator: they do the work without touching billing, roles or workspace settings.

Save
Nothing is written until you save, so you can change your mind. The new role applies everywhere except in apps where a per-app exception overrides it.

Who is allowed to change what

A role is not the whole story
Two things sit on top of a role. A per-app exception can raise, lower or remove one app for that person, and money is guarded by the finance or legal label rather than by any role. If someone still cannot see what you expected, check those two before changing the role again.

Frequently asked questions

Why can I not change another admin's role?
Only a workspace owner can change an admin. An admin can change everyone below admin, but not a peer and not the owner.
Can I change my own role?
No. Ask a workspace owner or another admin to do it for you.
Where did the role dropdown in the members list go?
It moved to the member page. In the list it applied instantly with no confirmation and no undo, so it now lives where you can see what else the change affects before saving.
Does changing a role take effect immediately?
Yes, once you save. They may need to reload the app to see the difference.
What is the difference between Manager and Collaborator?
A manager runs other people's work — schedules, assignment and approvals — but has no billing, role or workspace-settings access. A collaborator does the work itself.
I changed their role and they still cannot see something.
A per-app exception can override a workspace role for one app, and financial figures are gated by the finance or legal label rather than by role. Check both on their member page.
