Getting paid - Pacten Guides
Money in runs through Finance → Receivables. This guide follows one invoice from sent to settled — the client’s side included. The Finance & Accounts guides cover the bookkeeping underneath.
1
Send the invoice
From Finance → Receivables → Invoices & docs, raise a new document — an invoice, a deposit request, a quote. The client receives an email with the amount, the due date, a Pay button and your payment instructions. A priced booking does this by itself: the moment it is confirmed, the invoice goes out and the booking confirmation carries the Pay button too.
2
The client pays their way
The pay page offers a card payment when Stripe is connected, alongside whichever of your own methods you have switched on — bank transfer, Zelle, PayPal, Cash App, Venmo, Wise, cash — shown as instructions. A client who paid you directly taps “I’ve already paid”, picks how, and must attach proof before they can submit.
3
Confirm what needs review
Card payments confirm themselves. A direct payment comes back to you as Needs review — open the document to see the method, the note and the proof, and hit Confirm to mark it paid. An invoice under review is never chased.
4
Receipts
Card payments and confirmed claims email the client a branded receipt PDF automatically. A payment you record by hand does not — use Send receipt on the row when you want one to go out.
5
Let Pacten chase the rest
Every day, sent invoices past their due date flip to Overdue, and Pacten reminds the client on your cadence — including part-paid invoices, with a heads-up nudge before the due date too. Any single invoice can be nudged by hand with Send reminder on its row.
Deposits and payment plans
A deposit request is its own document type — raise it from New document to secure work upfront. For staged money, Payment setup on an engagement offers full payment, deposit + balance, 3×, 6× or monthly plans, and raises and emails the deposit invoice for you.
Who owes you, at a glance
Finance → Overview shows Outstanding and Overdue as headline tiles. Receivables → Accounts breaks it down per customer — each account has a Statement tab you can print or export. Invoices & docs is the register: Part paid, Needs review and a red LATE tag tell you where to look.
- Card payments settle into your own Stripe account — connect it once under Finance → Setup → Settings (“How you get paid”). Without it, the pay page shows your manual instructions only.
- Part payments are first-class: Record payment defaults to the full balance, and a smaller number simply leaves the invoice Part paid, with the document showing what is owed today.
- Receive payment spreads one transfer across several invoices at once — the usual case when a client settles a month in one go.
