Logging and importing job applications - Pacten Guides

Job Applications records every application made toward a placement for each person you are placing: a student, a learner, a candidate, a job seeker. The same shape suits any work where your team makes many attempts on behalf of someone and one of them has to land.

Logging
Log an entry
Everything below happens in one panel.
1
Open the panel
Click Log job application above the grid.
2
Pick one person or many
One searchable list holds everyone you can log for, grouped by cohort or group, plus alumni. Pick several to log the same application for each of them.
3
Paste the posting
Paste the job posting into the box at the top. Autofill fields reads the role, location, posted date and the rest into the form for you to check. Check résumé fit scores each person you picked against it.
4
Choose a stage and save
Fill anything autofill left blank, choose the stage and save. Apply method, Posted and Salary band must be answered. If the posting does not give a date, tick Not stated rather than guessing one.
Already applied?
Every entry on a person is listed to everyone who logs for them, even when a teammate logged it. When you log, Pacten warns you if that person already has an application at the same company, so nobody applies twice.
The funnel
The stages

Each entry also carries Company, Role, Location, Remote/Onsite, Source (where the job was found), Apply method (a one-click apply or a full application), Posted, Date applied, Follow-up, Applicants, Salary band and the link to the posting.

Importing
Bring in past entries from a spreadsheet
For owners, admins and managers by default (the Import rows permission).
1
Download the template
From the grid menu choose Import template. Fill in its Applications sheet, one row per application.
2
Upload it
Choose Import applications and drop the file in. Pacten checks every row before anything is saved and shows how many are ready, skipped or need fixing. A stage it does not recognise is flagged, never guessed.
3
Say which résumé was used
For each person in the file, pick the résumé those applications went out with, or say you do not know and it stays blank. The weekly report names it, so a guess would print as fact.
4
Import
Confirm and the ready rows are added to the grid.
Reporting
The weekly report

Each person can receive a weekly summary of the applications made for them. From their row, Report opens a preview with a written summary Pacten drafts for you. Edit or regenerate it, choose a different date range if you need one, look back at earlier reports, and click Send now.

To send automatically, an owner or admin sets a day and time in the banner above the grid and turns on Auto-send active. Every person with a logged application is then emailed each week with no approval step, and any summary you edited before the send goes out with your edits. Skip this week pushes one send without stopping the schedule. Editing locks 30 minutes before a send.

Not only jobs
Read “application” as any attempt you make for someone and “placement” as the outcome they are paying you for. The stages, the report and the follow-ups work the same way.

Frequently asked questions

Can I log the same application for several people?
Yes. Pick more than one person in the Log job application panel and the same entry is logged for each of them.
Which stages count toward the interview rate?
Interviewing and Offer. Recruiter reach-out and Phone screen count toward the recruiter engagement rate instead.
Does the weekly report need someone to approve each send?
No. Once a schedule is on, every person with a logged application is emailed on that day and time. Edit a summary before the send and your edits go out.
Can I import into Sales Activity?
Not yet. Importing past entries is on Job Applications only.
