Managing a group experience

A group experience is any programme several people go through together on a shared schedule. This is the checklist to run when you set one up, and again before each one starts.

The two links live in different places

This trips almost everyone up, so it is worth being precise.

Check both. An empty community link is silent — nobody is told it is missing, and members simply never receive it.

Planned is not the same as invited

This is the single most important thing on this page. Your programme's journey can show a full run of sessions on the Schedule tab while no invitation has been sent to anyone. Those entries are task placeholders on each member's checklist, not calendar invites.

A group can sit looking completely scheduled with zero invites out. Anything marked Needs setup has not been sent.

To actually send: Schedule → Add session, set the first date, time and timezone, turn on Repeat weekly, choose the days, set how many sessions, then create the series. That is the only action that emails your members.

Check the dates before you send

Session dates are counted from the group's start date, one period per stage. If your journey opens with preparation stages before the real work begins, set Day one on the journey to the stage that genuinely starts on the start date. Each stage shows when it falls (day one, +1 wk, +2 wks) so you can check it at a glance. Get this wrong and every session is dated late by the length of the preamble.

When someone joins late

Do not recreate the series. A member who enrols after the invites went out shows as new on the series card — use Catch up to invite just them. Add session is only for a one-off that is not part of the series.

If some members have no dates

If a session says some members hold it with no date, those members joined before a change to the programme journey and received the session without a schedule. Creating the series covers everyone going forward; contact those members directly about the dates they missed.

The checklist

  1. The group has a name and is attached to the right service.
  2. The start date is correct.
  3. Day one points at the stage that really begins on the start date.
  4. The meeting link is set and still works.
  5. The community or group chat link is set.
  6. The session series has been created — not just planned.
  7. The invite actually reached everyone; resend anything that bounced.
  8. The roster matches who should be there.

Frequently asked questions

I set up my schedule but nobody got an invite. Why?
Sessions shown on the Schedule tab from your programme journey are task placeholders, not invitations. Only creating a session series actually emails your members. Anything marked Needs setup has not been sent.
Where is the meeting link for my group?
On the service the group runs, not on the group itself. It is shown on the group's Schedule tab, and editing it changes the link for every group running that service.
Where does the community or group chat link go?
It is set on the individual group, and is sent automatically after each member's welcome email. A newly created group does not have one until you add it.
Why are my session dates wrong?
Dates are counted from the group's start date, one period per stage. If your journey opens with preparation stages, set Day one to the stage that genuinely begins on the start date, or every session lands late by the length of that preamble.
