Managing your clients - Pacten Guides
Clients live in two views of the same records: Pipeline (the board — who is at what stage) and Contacts (the list — everyone, searchable). Both are in the sidebar.

Add a client
The New lead button asks for a name plus an email or phone number — the rest (company, source, a note, what they’re interested in) is optional. If the email or phone already exists, Pacten shows you the match and asks before merging; a merge fills in blanks and never overwrites what you already had unless you confirm it.

Work the board
New clients start at the first stage and you drag them across as things progress — contacted, qualified, proposal, won. Customize stages renames and reorders the columns to match how you actually sell. Team members can claim a lead so everyone knows whose it is, and the “Take action” chip shows what is unclaimed or overdue.

Open the record
A client’s page holds everything in one place: their details and notes, the full activity timeline (bookings, messages, calls with recordings, stage changes), their bookings, message threads and documents. Almost every field edits in place.

Take them on
When an enquiry becomes real work, Take them on converts it into an engagement — the record moves from selling to delivering. It needs a live enquiry to convert, so a brand-new contact should be messaged or booked first.
Importing your client book
On the Pipeline page: Import template downloads a workbook built around your own services, and Import filled file reads it back with a row-by-row preview before anything is written. Every imported row needs an email — that is how duplicates are caught. Up to 1,000 rows at a time.
Keeping people without pipeline noise
Not everyone belongs on the board. The Directory stage keeps a contact saved but off the pipeline — and it is the right alternative to deleting, which permanently removes the record and its history.
- One phone number, one contact: adding a second record with the same number merges into the first instead of duplicating it.
- Leads can also arrive on their own — from your booking page, your website forms, and connected sources like webhooks or form tools (Settings → Integrations → Lead capture).
- Search matches names, emails and companies; the stage filter narrows the list.
