Running payroll - Pacten Guides

Payroll turns a month of employment into what each person is actually paid. Under People → Payroll.

THE RUN

Create a pay period
The period being paid for. Everything else hangs off this.

Assemble the run
Pulls together what each person is owed, with deductions applied. This is a draft — assembling it changes nothing and pays nobody.

Review the sheet
The run moves to In review. This is where you check it, and the screen helps by showing what changed against the previous run.

Approve it
Through the payroll approval chain, if your workspace configured one.

Paid and exported
Marked paid, and exported for your bank or your accountant. The period is then closed.
Tip
Changed vs prior is the single most useful check on the sheet. Payroll is mostly the same every month, so the exceptions ARE the review — a person whose net pay moved and should not have is far easier to spot than an error in a column of correct numbers.

Statutory rules and deductions
Configured once, applied every run.

Under People → Settings → Payroll rules, a workspace defines what is deducted and who bears it. Each rule records whether the employee pays it, the employer pays it, or both — because that distinction is the difference between a deduction from pay and a cost to the business, and they are not interchangeable.

Rules can be a fixed amount or a percentage of gross. Salary advances being repaid are recovered here too, which is why an advance shows as Repaying rather than simply being outstanding somewhere.

Watch out
Statutory rules are read from where somebody lives, so the address on the employment record is not administrative detail — it is an input to their pay. A wrong or missing address produces a payslip that is quietly wrong.
APPROVAL
Who signs it off
Its own chain.

Payroll has its own approval policy, separate from advances and cash requests, because the people who may approve one person’s advance are not necessarily the people who may sign off the entire wage bill.
