What Trackers is for - Pacten Guides
Most outcomes take many attempts first: applications before a placement, calls and quotes before a sale, reminders before a payment. Trackers is where your team logs each of those attempts against the person or deal it is for, so you can see what is working, who is working what, and what is due next.
The idea
Attempts, logged against an outcome
The same shape, whatever your business does.
- An entry is one attempt: an application sent, a call made, a quote chased.
- Every entry belongs to the person or deal the work is for: a student, a candidate, a client, a patient or a deal. Trackers shows each workspace its own word for them.
- Every entry has a stage, so entries add up to a funnel and a conversion rate.
- A follow-up date on an entry puts it on My Follow-ups the day it falls due.
- A claim says who is working each person or deal, so nothing sits unowned and nobody works the same one twice.
The views
Four views in one rail
Open Trackers from the launcher. The rail starts with Setup guide, then the views below.
- Job Applications: every application made toward a placement, for each person you are placing, with an interview rate and a weekly report they can receive.
- Sales Activity: every deal from first inquiry to delivered or lost, with a win rate and where your deals come from.
- Collections: every debt in the workspace, read live from Finance, by age, with who is chasing it and what was said.
- My Follow-ups: one list of everything due across the trackers, promises to pay and your callbacks, soonest first.
Which views you see
Each view appears only where it is switched on. Job Applications is on for training and education workspaces. Sales Activity appears wherever a tracker is on, and Collections sits alongside them. My Follow-ups is always there.
Where to start
Your first week in Trackers
1
Log your first entry
Open a view and click Log job application or Log sales activity. Pick the person or deal, choose a stage and save. The grid and the numbers are built from these entries.
2
Bring in past entries
If you kept applications in a spreadsheet, an owner, admin or manager can import them on Job Applications so your numbers start with your history.
3
Decide who sees whose work
By default owners, admins and managers see everyone. Change it in Settings → Access under See everyone’s tracker activity.
4
Give everything someone to work it
Claim the people and deals you are working, or assign them to a teammate.
5
Set follow-up dates
A date on an entry puts it on My Follow-ups, so the next step is chased rather than remembered.
Why one place
A spreadsheet per person tells you what happened to that person. Trackers tells you the same thing across everyone at once, and what to do next, without anyone retyping it.
Frequently asked questions
- Is Trackers only for recruitment?
- No. Job Applications suits any work where you make many attempts on behalf of someone and one has to land. Sales Activity suits anyone who sells, and Collections suits any business that is owed money.
- Do I have to type in what people owe?
- No. Collections reads every debt live from Finance. Nothing about money is typed into a tracker.
- Why does my rail not show every view?
- Each view appears only where it is switched on for your workspace. My Follow-ups is always there.
