Working collections - Pacten Guides
Collections lists everything owed to your workspace, read live from Finance. There is nothing to set up and nothing to type: payment plan instalments and unpaid invoices appear here as soon as they are owed, whether or not anyone logged a deal or an application for that person.
- Debts are aged per instalment: 90+ days, 61 to 90, 31 to 60, 1 to 30, and Not yet due. Someone can be up to date this month and four months late on an earlier payment, and one “days late” figure would hide that.
- The list is sorted oldest first, then by size. Totals show what is outstanding and how much of that is overdue, with each currency kept separate.
- Filter by age, by cohort or group, by who is chasing (Everyone, Unassigned or one person) and by Promised to pay, and search by name.
- Waived, paused and cancelled amounts are not counted as owed.
Chase history shows what was sent, when and whether it was delivered, alongside calls and automatic card charges, read from the real messages rather than a separate log. The panel also shows when the debt was last chased.
Collections has its own setting, See everyone’s collections, in Settings → Access. With it, you see every debt. Without it, you see the debts that are yours: claimed by or assigned to you, or unclaimed and on a person you own in your CRM, or unclaimed and raised by you. Once a teammate claims a debt it leaves the owner’s list.
Frequently asked questions
- Do I need to set anything up?
- No. Collections reads payment plans and unpaid invoices from Finance. If Finance says it is owed, it is here.
- Why is someone listed who has no tracker entries?
- A debt exists whether or not anyone logged a deal or an application for that person, so Collections lists every debt.
- Why can I not chase a debt?
- Chasing needs the Chase a payment permission, which by default is Collaborator with the Finance label. Ask an owner or admin.
- Are different currencies added together?
- No. Each currency is totalled separately.
